Check macOS compatibility and the remaining support period

Before choosing an edition, open About This Mac and note your macOS version and exact Mac model. Then check whether Apple supports upgrading that model to a macOS release supported by your chosen Office edition. Microsoft supports Office for Mac on the three most recent major macOS releases, so an operating system that met the original launch requirements may no longer qualify for current updates. Purchase year alone is not a reliable compatibility check.

Separate the right to keep using a perpetual licence from the period during which Microsoft supports the software. Office 2021 reaches the end of support on 13 October 2026; Office 2024 reaches it on 9 October 2029. End of support does not automatically deactivate a perpetual installation, but security fixes and technical support stop. For a Mac handling business documents or email attachments, the remaining supported lifetime should be part of the buying decision.

• Do not confuse a perpetual licence with perpetual security updates.
• Budget for replacement before the edition's support deadline.

Activate with the right account and understand transfer rights

For a retail Office purchase that uses a redeemable product key, start with Microsoft's official setup site and sign in to the Microsoft account you intend to retain. Redeem the key there, then download the installer through that account. Open an Office application and sign in with the same account to activate. Avoid having a technician redeem the purchase under their personal account: managing or reinstalling the software later depends on access to the associated account.

Microsoft's retail terms for stand-alone Office Home & Business generally permit installation and use on one PC or Mac at a time, not one of each. For stand-alone retail software, transfer to another device you own is generally allowed no more than once every 90 days, with an exception for hardware failure; remove the software from the previous device. Preinstalled and volume-licensed copies can have different rules. Consult the Microsoft Software License Terms for the actual product and acquisition channel.

• Keep the purchase record and account details, not just the product key.
• Use an account you control and protect it with multifactor authentication.
• Check whether the licence is retail, preinstalled or supplied through an organisation.
• A second Mac normally needs another perpetual licence.
• Successful activation alone does not establish that a licence was properly supplied.

Test complex spreadsheets and document layouts before switching

For ordinary documents, exchanging Office files between platforms is straightforward, but identical file extensions do not guarantee identical results. Missing fonts, font substitutions, printer settings and platform-specific features can change pagination or appearance. Before moving a client-facing template to a Mac, compare a representative document on both platforms, including tables, headers and page breaks. When the recipient only needs to read or print the finished result, export a PDF and inspect that final file before sending.

Excel deserves a separate trial if your work depends on automation or specialist tools. Excel for Mac supports VBA, but Windows-specific VBA calls, ActiveX controls and COM add-ins do not work as they do on Windows. Power Query capabilities also vary by platform, edition and data source. Ask the workbook owner or add-in vendor for explicit Mac compatibility, then test refreshes, macros and outputs using realistic data rather than assuming that opening the workbook proves full compatibility.

• Test a real workbook with its external connections and required add-ins.
• Check that required fonts are installed and licensed for your use.
• Inspect print previews as well as the normal editing view.
• Keep an unchanged backup before testing macros or conversions.
• Use PDF for fixed-layout delivery, not as a replacement for an editable source file.

Separate the Office licence from email, storage and backup

Buying an Office edition that includes Outlook supplies the email application, not an email hosting service or a custom-domain mailbox. You still need an account from an email provider, and the provider's authentication and server requirements determine whether it can be connected. For work accounts, check with the administrator before buying: organisational security policies can affect access. If you need business email hosting, evaluate that requirement separately instead of treating Outlook's inclusion as a complete email solution.

Likewise, a perpetual Office purchase does not include the subscription storage allocation offered with Microsoft 365. You can save documents locally or use a separately available cloud service, but file synchronisation and backup are different jobs. A deletion or unwanted edit can synchronise to other devices. For important work, combine your chosen storage location with an independent backup plan, and verify how to recover earlier versions. Use OneDrive or SharePoint for supported Office co-authoring workflows rather than assuming any synchronised folder is equivalent.

• Confirm that your email provider supports the chosen Outlook for Mac version.
• Treat custom-domain email hosting as a separate service requirement.
• Check cloud storage capacity before moving a large document library.
• Test restoration of a deleted file and recovery of an earlier version.
• Keep an independent backup, such as a properly configured Time Machine backup.

Licence scope, storage and support: perpetual Office versus Microsoft 365
