Decide: classic Outlook or new Outlook?
Office 2024 ships with both classic Outlook (.exe, full-featured) and the new Outlook (preview, lighter). IMAP setup is straightforward in classic; the new Outlook handles IMAP differently by syncing through Microsoft's cloud.
For Gmail and iCloud with strict privacy requirements, use classic Outlook so mail flows direct from your provider to your PC.
Generate an app password
- · Gmail: myaccount.google.com → Security → 2-Step Verification → App passwords. Generate one labeled 'Outlook'.
- · iCloud: appleid.apple.com → Sign-In and Security → App-Specific Passwords. Same idea.
- · Yahoo, AOL, Fastmail: similar app-password flow in account settings.
Add the account in Outlook 2024
File → Add Account
Type the email address. Choose 'Advanced options' and tick 'Let me set up my account manually'.
Pick IMAP
Outlook will offer Exchange/Office 365/IMAP/POP. Pick IMAP.
Enter server settings
Gmail: imap.gmail.com:993 SSL, smtp.gmail.com:465 SSL. iCloud: imap.mail.me.com:993, smtp.mail.me.com:587 STARTTLS.
Paste the app password
Use the app-specific password from the previous step, not your real account password.
Send a test message
Outlook auto-runs a send/receive test. Green check = done.
Common IMAP problems
- · 'Cannot connect to outgoing server' → SMTP port wrong or authentication off. Always 'Use same settings as incoming'.
- · Sent items appearing twice → uncheck 'Save copies of messages in Sent Items folder' (Gmail saves them server-side automatically).
- · Folders missing → IMAP root mailbox path may need to be set to 'INBOX'.
Frequently asked questions
- Will my mail sync to my phone too?
- Yes. IMAP is server-based — any changes you make in Outlook 2024 (read, delete, move) sync to every other IMAP client connected to the same account.
